FAQ

Vending machine FAQ: questions, answered

Straight answers about getting a smart vending machine — and honest notes where terms are confirmed per site.

Buying & renting

Ways to get a machine and what decides the cost.

Can I buy a vending machine outright?

Yes, outright purchase is one of the models we discuss. You own the machine and decide how it is stocked and run. We help you choose the configuration, install it and train your team. Whether a service plan is included is agreed in your quote.

Can I rent or lease a machine instead of buying?

Rental or subscription is an option we can discuss for offices, campuses and other sites that prefer a periodic fee over an upfront purchase. Tenure, servicing and upgrade terms are set in the contract and shared on request.

How much does a vending machine cost to buy or rent?

It depends on the machine type, size and configuration (cooling, heating, touchscreen size, payment hardware), the quantity and the engagement model. We do not publish a price list. After a short call about your site and needs, we send options with a written quote.

How many machine types do you offer?

Our catalogue lists 50 machine types across beverages, snacks, meals, health, dairy and frozen, water and ice, healthcare and hygiene, travel and tech, workplace and safety, lifestyle, and 24x7 smart stores. Availability of each configuration is confirmed with your quote.

Placement & sites

Where machines work best and what a site needs.

Can you place a machine at my site for free?

For qualifying high-footfall sites we can discuss a model where we place, stock and maintain the machine while you provide the space and power. Whether a site qualifies is decided after a site survey, so we cannot promise it before seeing the location.

What does a site need for a vending machine?

Usually a level floor area, a nearby power socket, reasonable mobile network or Wi-Fi coverage for cashless payments and monitoring, and steady footfall. Space and power needs differ by machine type and are confirmed during the site survey.

Which places suit smart vending machines?

Offices, factories and industrial sites, colleges and campuses, hospitals, gyms, malls, hotels, travel hubs and residential societies. Each venue page on this site suggests machine types that fit that setting.

Do you serve my city?

Tell us your city in the enquiry form and we will confirm coverage. We will publish the list of service regions here once it is finalised.

Payments

How customers pay at the machine.

Which payment methods can the machines accept?

Our smart machines are designed for cashless payment such as UPI QR and cards, and some configurations can also take cash. The exact payment options for your machine are listed in your quote.

Can staff or students pay with their ID cards?

Closed-loop payment with employee or student ID cards is not standard on every machine. It is scoped during the site survey, because it depends on your existing ID or wallet system, and is confirmed in your quote.

What happens if a payment goes through but the product does not drop?

Smart machines can detect failed dispenses so refunds can be handled. The exact refund process and timelines depend on the payment provider and are confirmed for each deployment.

Stocking & service

Refills, maintenance and who does what.

Who stocks the machine?

It depends on the model you choose. In operated or revenue-share placements we handle refills. If you buy the machine you can stock it yourself, or ask us about a stocking arrangement.

How do you know when a machine needs refilling?

Connected machines report stock levels and sales to a dashboard, so refills can be planned before shelves run empty instead of on a fixed schedule.

How fast is service if a machine breaks down?

Response times are agreed in your service plan and written into your quote, because they depend on the engagement model and your location. We do not publish a standard response time.

Can I choose the products sold in the machine?

Yes. The product mix (planogram) is planned around your venue and the people who use it, and can be adjusted later using sales data.

Technology

Touchscreens, telemetry and the dashboard.

What makes a vending machine "smart"?

A touchscreen to browse products, cashless payment, and an internet connection that sends sales, stock and machine-health data to a remote dashboard. Some models also support temperature monitoring and alerts.

Does the machine need internet?

Cashless payments and remote monitoring need a data connection, a SIM-based data connection or site Wi-Fi, depending on coverage. Connectivity options are confirmed during the site survey.

Can the machine be branded for my company or venue?

Machines can carry a custom side wrap and on-screen content, like the themed signage shown in our photos. Branding options are discussed with your quote.

Can you supply hot and chilled products from one machine?

Some machine types support separate temperature zones. Which products can share a machine depends on the model and is confirmed when we plan your configuration.

Compliance & safety

Food, healthcare items and regulatory care.

Is food sold through the machines safe and compliant?

Food and beverages should be sourced from FSSAI-registered suppliers in compliant, labelled packaging, and stored at the right temperature. Stocking and temperature routines are agreed for each site.

Who holds the FSSAI licence for a food vending machine?

It depends on the model. In operated or revenue-share placements, the operator stocking the machine holds the licence. If you buy or rent the machine and stock it yourself, the owner or venue holds it. Who is responsible is confirmed in your agreement.

Are the machines BIS certified?

The safety certification that applies to each model (such as BIS, where required) is confirmed in your written quote; ask us for the documents.

Can a machine sell medicines?

Only permitted OTC essentials, such as first-aid and hygiene items. Prescription medicines (Schedule H, H1 and X) are never stocked, and each item is checked before it is stocked. Any licensing the venue needs is confirmed per site.

Can a machine sell SIM cards?

Not from an unattended machine today. Selling a SIM requires Aadhaar-based KYC and a registered telecom distributor under Department of Telecommunications rules. Whether any SIM or eSIM connectivity product is feasible at a site is checked case by case with a licensed telecom partner. We do not configure machines for products that cannot legally be sold unattended.

How is personal data handled?

Our systems are designed with the Digital Personal Data Protection Act, 2023 and the DPDP Rules 2025 in mind. Enquiry details are used only to reply to you, and payment data is processed by authorised payment providers. See the privacy page for more.

How to use this vending machine FAQ guide

This vending machine FAQ guide is for people in India who are thinking about a smart vending machine for an office, factory, campus, hospital, gym, mall, hotel, travel hub or housing society. The short answers on this page tell you what we can confirm today. This guide explains the reasoning behind those answers and lists what you should check at your own site.

Read this vending machine FAQ in any order. Each section stands on its own. If a question is not covered, you can send us your question through the contact form and we will reply with what we can confirm for your location.

A good vending machine FAQ should save you time, not sell to you. So you will not find prices, client lists or big claims here. Prices depend on your machine, site and engagement model, and we only share them in a written quote.

Who usually reads these vending machine questions

Most vending machine questions come from four groups of people:

  • Admin and facilities teams in offices and factories who want snacks, drinks or safety items available round the clock.
  • Hostel wardens, college admins and society committees who want a reliable option for students or residents late at night.
  • Hospital and hotel managers who need water, hygiene items or quick food for visitors and guests.
  • Entrepreneurs who want to explore the vending machine business and partner models.

Each group asks slightly different things, so each vending machine FAQ section here has a section for each concern.

Vending machine FAQ on choosing the right machine

The first question is nearly always “Which machine should I get?” The honest answer is that it depends on who will use it and when. Our catalogue lists 50 machine types. You can browse all vending machine types by category, or use the vending machine finder to get a shortlist in four short steps.

Start with people, not products

Ask yourself three simple questions:

  1. Who walks past the spot every day? Office staff, shift workers, students, patients, guests or residents?
  2. What do they need at odd hours? A hot drink, cold water, a snack, a hygiene product or a phone charge?
  3. How long do they wait near the spot? A busy corridor suits quick snacks. A waiting area suits meals or hot drinks.

For example, a night-shift factory may need a tea and coffee vending machine and safety consumables. A college hostel may get more value from a snack vending machine and a sanitary pad vending machine. These are examples only. A site survey decides the real fit, and it answers this vending machine FAQ better than any list can.

Should I start with one machine or several?

Many sites start with one machine, watch the sales data for a few weeks and then add more. This keeps the first decision small. If your venue is large, such as a big campus or an industrial park, a mix may make sense from the start. Ask us to suggest a starting set based on your footfall. It is one vending machine FAQ where the answer is different for every site.

Vending machine buying guide: buy, rent or have it operated

This part of the vending machine buying guide covers the most common money question: how do I pay for the machine itself? There are a few possible ways to work with a vending company. We are still confirming which of these we offer, so for each one, please ask us whether it is available for your site.

Model What it usually means Who stocks it Upfront cost for you Best suited to
Buy a machine You own the machine and run it your way You, or a stocking arrangement you choose Highest Businesses and operators who want full control
Rent or subscribe You pay a periodic fee instead of buying Agreed in the contract Lower Offices and campuses that prefer a monthly cost
Operated placement The operator places, stocks and maintains it; you give space and power The operator Usually none for space hosts, subject to a site survey High-footfall sites
Partner model You run machines in your city with the provider’s hardware and software You, as the partner Varies by terms Entrepreneurs

Remember that this table explains how these models generally work in India. It is not an offer. Every model is “ask us whether available”, and terms are shared only in a written quote.

Questions before buying a vending machine outright

If you plan to buy, here are the questions before buying a vending machine that matter most:

  • What exactly is included: installation, training, a service plan, spare parts?
  • Who handles repairs after the warranty period, and how is response time agreed?
  • Which payment hardware is fitted, and are there any ongoing fees from the payment provider?
  • Can the machine’s software and dashboard be used without a separate subscription?
  • What safety certification applies to this model? It should be confirmed in your written quote.

Write these questions down and ask every supplier the same list, like your own vending machine FAQ checklist. It makes quotes easy to compare.

Smart vending machine FAQ India: payments and technology

Payment questions take up a big share of any smart vending machine FAQ India readers search for. Most people today pay with UPI, so a machine that only takes coins can lose many sales.

How do UPI payments work at a vending machine?

The machine shows a QR code on its screen or a sticker. The customer scans it with any UPI app and pays. The machine gets confirmation from the payment provider and then drops the product. UPI is run by the National Payments Corporation of India (NPCI), and payments are handled by authorised payment providers, not by the machine itself.

Our smart machines are designed for cashless payment such as UPI QR and cards. Some configurations can also take cash. The exact options for your machine are listed in your quote.

What does “smart” add beyond payments?

A smart vending machine usually has a touchscreen, cashless payment and an internet link that sends sales and stock data to a dashboard. Some models also support temperature monitoring and alerts. These features are model dependent and optional, so ask which ones your configuration includes. You can read more on our smart vending machine technology page.

Does the machine need Wi-Fi?

Cashless payments and remote monitoring need a data connection. This can be a SIM-based data connection or site Wi-Fi, depending on coverage at the exact spot. Basements and thick-walled buildings often have weak signal. Check your phone’s network bars at the spot before the survey. It is a quick test that answers a common vending machine FAQ in seconds.

Vending machine FAQ on site needs and placement

Placement decides most of a machine’s success. A great machine in a quiet corner will not sell much. This vending machine FAQ section lists what a site generally needs.

The basic site checklist

  • Floor: a level, dry area with space for the machine and for a person to stand in front of it.
  • Power: a nearby, properly earthed socket. Avoid long extension cords. Machines with cooling or heating need a stable supply.
  • Network: reasonable mobile signal or Wi-Fi for payments and monitoring.
  • Footfall: a spot people pass every day, ideally close to where they wait or take breaks.
  • Safety: not blocking fire exits, stairs or emergency routes, and away from direct rain or harsh sun.

Exact space and power needs differ by machine type and are confirmed during the site survey. Keep this vending machine FAQ checklist handy when you walk around your site.

Do I need permission from my building or society?

Often, yes. Offices may need approval from the building management. Housing societies usually need the committee to agree, and sometimes the general body. Malls, stations and hospitals have their own rules for vendors. It is wise to get written permission before installation. This vending machine FAQ cannot give legal advice, but we can share what information a building usually asks for.

Which venues suit smart vending?

Offices, factories and industrial sites, colleges and campuses, hospitals, gyms, malls, hotels, travel hubs and residential societies all can work. Each venue page suggests machine types. For example, see our pages for office vending solutions, hospital vending solutions and residential society vending.

Vending machine FAQ on food safety, compliance and data

Compliance questions are the ones people most often skip, and the ones that matter most later. This vending machine FAQ section explains the general rules in simple words. It is not legal advice, so please confirm details for your own case.

Food safety and FSSAI

Food and drinks sold in India fall under the Food Safety and Standards Authority of India. You can read about food safety rules on the official FSSAI website. For a vending machine, products should be sourced from FSSAI-registered suppliers and stocked in compliant, labelled packaging. Chilled or hot products also need the right storage temperature.

Who holds the FSSAI licence or registration depends on the model. In an operated placement, the operator stocking the machine usually holds it. If you buy or rent the machine and stock it yourself, you or the venue may need it. FSSAI registrations and licences are applied for on the FSSAI FoSCoS portal. Who is responsible is confirmed in your agreement.

Electrical safety and BIS

The Bureau of Indian Standards sets standards for many electrical products. You can read about its work on the BIS website. The safety certification that applies to each machine model, such as BIS where required, is confirmed in your written quote. Ask for the documents and keep a copy with your admin team. It is a vending machine FAQ that auditors often raise later.

Medicines and SIM cards

A machine can sell only permitted OTC essentials, such as first-aid and hygiene items. Prescription medicines are never stocked. SIM cards are never sold from an unattended machine, because a SIM sale needs identity checks through a registered telecom channel. Any SIM or eSIM connectivity product is checked per site with a licensed telecom partner.

Personal data

Smart machines and dashboards handle some data, such as sales records and, for closed-loop systems, user IDs. India’s Digital Personal Data Protection Act, 2023 sets rules for this. You can read the law and related material on the MeitY data protection page. Ask any supplier how they store data, who can see it and how long it is kept.

Vending machine FAQ on stocking, refills and service

After installation, the daily work begins. This is where many vending machine questions come up for the first time.

Planning the product mix

The product mix, also called a planogram, should match the people who use the machine. A gym may want protein snacks and water. A hospital may want water, juice and hygiene items. A society may want milk, bread and daily needs. Start with a small, focused mix. Then use sales data to remove slow items and add what people ask for.

How often does a machine need refilling?

There is no fixed answer. It depends on footfall, machine size and what sells. Connected machines report stock levels to a dashboard, so refills can be planned before shelves run empty. This avoids both wasted trips and empty machines, which is why refill timing is a frequent vending machine FAQ from site teams.

What about breakdowns?

Ask how breakdowns are reported, who comes to fix them and how quickly. Response times depend on the engagement model and your location, and they should be written into your service plan. We do not publish a standard response time, because a promise that does not fit your city is not useful to you.

Simple care tips for site teams

  • Keep the area around the machine clean and dry.
  • Do not unplug the machine to use the socket for something else.
  • Report any error message, strange noise or warm cooling section quickly.
  • Collect feedback from users about items they want, and pass it on.

Vending machine FAQ myths and facts

Some beliefs about vending machines are out of date. This short vending machine FAQ section clears up the common ones.

Myth Fact
Vending machines only sell chips and cold drinks Our catalogue covers 50 types, including meals, dairy, hygiene, safety gear and charging
You need coins to use one Smart machines are designed for UPI and card payments; cash is optional on some configurations
Someone has to check stock by visiting Connected machines report stock and sales to a dashboard

Why some questions have “on request” answers

You may notice that many answers say “confirmed in your quote” or “ask us whether available”. This is deliberate. We would rather give you a true answer for your site than a neat number that may not apply. Every confirmed term goes into writing, so each vending machine FAQ answer becomes a clear line in your contract.

Frequently Asked Questions

Is this vending machine FAQ the same as the answers above it?

No. The short answers above cover the basics. This vending machine FAQ guide goes deeper. It explains why each question matters, what to check at your own site and which details belong in a written quote, so you can plan before you speak to anyone.

What should I prepare before I ask for a vending machine quote?

Note your venue type, rough daily footfall, the floor space you can spare, the nearest power socket, mobile network strength at that spot and the products people ask for. Photos of the spot help a lot. With these details, a quote can be specific instead of generic.

Can one vending machine FAQ answer apply to every city?

Not always. Rules on food, local permissions and service reach can differ by state, city and building. Treat general answers as a starting point. Anything specific to your location, such as coverage or response times, is confirmed for your site and written into your quote.

How long does it take to decide on the right machine?

It depends on how clear your needs are. A simple office snack machine can be decided quickly. A site that needs fresh food, closed-loop ID payments or several machines usually needs a site survey first. The survey answers most open questions in one visit.

Do you share documents like safety certificates before I commit?

Yes, you can ask for them. The safety certification that applies to each model, such as BIS where required, is confirmed in your written quote. Ask us for the documents along with the quote so your admin or legal team can review them before signing.
